Conflict of Interest Recusals for Awards

Best Abstract Award

  1. Committee Chairpersons and Committee Members: can have abstracts in the competition. However, they should not score the abstracts on which they are co-authors.
  2. Collaborators: If a committee member has collaborated in the research work or funded the work described in an abstract, s/he should not score the abstract. Any past or present collaborative/funding relationships with the authors are not considered to be relevant to this committee work.
  3. Supervisors: If the committee member is the current supervisor of one or more co-authors of an abstract being evaluated, s/he should not score the abstract.
  4. Institution: Best judgment will be applied in recommending recusal when a colleague from the same institution is nominated. The decision regarding recusal will take into account the size of the institution and the proximity in the management structure. The final decision regarding recusal due to institutional conflict of interest will be made by the committee chair (who is a member of the RASS executive committee), unless the committee chair’s institution is involved, in which case the decision will be made by the RASS President.
  5. Multiple awards: The same abstract cannot receive the overall best and best student awards. To avoid this occurring, the winner of the best student abstract award will be removed from the list of those to be considered for the overall best abstract award.
  6. Winner: The winner of the Best Abstract Award is based on the average score among all who scored the abstract, not the total numerical score.

Best Paper Award

  1. The Committee Chairperson and Committee Members: can have papers in the competition. However, they should not score the papers on which they are co-authors.
  2. RASS Council Members: need not recuse themselves from applying for best paper awards. Council members can nominate their own papers for consideration of the award.
  3. Collaborators: If a committee member has collaborated in the research work or funded the work described in a paper, s/he should not score the paper. Any past or present collaborative/funding relationships with the authors are not considered to be relevant to this committee work.
  4. Supervisors: If the committee member is the current supervisor of one or more co-authors of a paper being evaluated, s/he should not score the paper.
  5. Institution: Best judgment will be applied in recommending recusal when a colleague from the same institution is nominated. Best Student Abstract Award

Each year the RASS encourages student participation and excellence by providing an award to the best student presentation at the annual meeting. The student and her/his advisor are recognized and honored with a plaque during the RASS Reception held during the annual meeting. All pre-doctoral students are eligible. The student should submit the abstract as accepted for the meeting, an extended abstract of the work to be presented (up to 5 pages) and a letter from the advisor that discusses the merits of the work and the student’s accomplishments in ensuring the success of the project.

Students should submit these materials via e-mail or the regular mail to the RASS Vice-President elect within two weeks of notification that their abstract has been accepted.
