Platform Session Instructions

Platform Session Chairperson Guidelines

As a chairperson for a Platform Session, you are encouraged to review the abstracts in your session which are available for review by accessing the SOT Online Planner, a tool to build your schedule for the meeting from your desktop in January, before the app is available, and then sync it to the Mobile Event App in February once it’s launched.

During the discussion of a paper, make certain that all persons addressing a topic or question use the floor microphones provided and identify themselves by name and institution.

The audiovisual equipment available for this session includes a digital projector for PowerPoint presentations, a podium with microphone and a floor microphone. To minimize setup delays for PowerPoint presentations, each presenter has been encouraged to preload their presentations in advance of the Annual Meeting using the online speaker management site. Each speaker received specific instructions with their login, password and web link to upload the presentation files.

In the Speaker Ready Room, PSAV staff will be available to assist with any compatibility issues or to assist speakers with their presentation in any way. Each speaker can utilize the Speaker Ready Room to make sure all fonts appear as expected and all sound/video clips are working properly on site.

They can also edit their presentations up to two hours prior to the start of each session. When the presentation is to be given, the file will be loaded on the computer in the meeting room. Each presentation room will be staffed with an audiovisual (AV) technician, who will assist in starting each presentation. Once the presentation is launched, the speaker will control the program from the podium using a computer mouse and/or keyboard, which will also be used in lieu of a laser pointer. At the conclusion of the event, all files will be destroyed, and the computer hard drives will be reformatted. The computers in the presentation rooms will be Windows 7-based PCs with Microsoft PowerPoint® (Office 2013 installed).

Prior to your session, please familiarize yourself with the emergency instructions stated in the SOT Annual Meeting Program. Should a fire or medical emergency occur during your session, please remain calm and follow those instructions.
