Standard Registration

Online Registration is strongly encouraged. The Annual Meeting Standard Registration deadline is February 12, 2016. The registration fee for the SOT Annual Meeting includes admission to all Scientific Sessions, Welcome Reception, Award Presentations, ToxExpo, a copy of the Program, a downloadable PDF of The Toxicologist (abstracts), and the ToxExpo Directory.

SOT Members and Nonmembers are invited to register for the SOT 2016 Annual Meeting using SOT’s Online Registration System. The system is designed for those who will be paying their registration fee by credit card.

Online registration will be open throughout the Annual Meeting until March 17. On-Site Registration Forms will be available at the Annual Meeting Registration Desk.

** Special offer to nonmember 2016 Annual Meeting attendees: submit your completed application for the May review cycle (deadline May 1, 2016) and, upon acceptance, SOT will waive your 2016 membership dues!

*Not an SOT member?—Apply for SOT membership and have a complete application by the January 1, 2016, application deadline, and you could enjoy discounted member registration rates. Those who are accepted are notified after late February when the Membership Committee has finalized their review.

You have the option to register for the Annual Meeting now at the nonmember rate or wait until the week of February 12 to register at the Final Registration member rate and realize substantial savings if approved as an SOT member. Forms will be date-stamped as they arrive. This is your date of registration. Faxes will be accepted by SOT Headquarters at 703.438.3113, only if a credit card number is clearly listed in the appropriate area.

Registration Confirmation

You should receive a registration confirmation via email, whether you register directly online or if you have sent your registration form to SOT Headquarters via the mail or by fax. If you don’t receive your confirmation within two weeks, please contact SOT Headquarters or call 703.438.3115.

The Registration Desk is located in the lobby of the First Floor in the New Orleans Ernest N. Morial Convention Center.

Registration Guidelines

Payment

Registration forms will be returned if not accompanied by one of the following methods of payment:

  • Company or Personal Checks; US Currency only (Please list all registrants on check memo or check stub.)
  • Government Purchase Order; Check must be drawn from the US Department of Treasury
  • Money Order
  • Visa, MasterCard, Discover, Diner’s Club, or American Express

Registration Deadlines

  • Early Bird Registration until January 15, 2016
  • Standard Registration until February 12, 2016
  • Final Registration is after February 12, 2016

DO NOT mail your registration form to SOT if it will arrive after March 10, 2016. SOT will accept faxed and/or mailed Annual Meeting registrations until March 10. Online registration will be open until March 17. After March 10, registrants who do not use the online system will need to register on-site at the Annual Meeting. If you register online after March 10, 2016, you can easily pick up your badge at the “BADGE PICK UP” registration counter.

Tickets

Tickets for CE Courses and other events may be required. These tickets will be issued with your meeting badge. You must be registered for the meeting in order to participate in a CE Course or a Special Event.

Confirmation

You will be mailed a registration confirmation, name badge, and CE Course and/or event ticket(s) before the meeting if your registration form is received by January 15, 2016. If registration is required after January 15, you can pick up your badge and tickets at the registration counters on-site.

Letter of Attendance

Please stop by Registration after Tuesday morning if you would like a letter of attendance for your participation in the 2016 SOT Annual Meeting and/or the Continuing Education Course(s). If you missed your chance to get your attendance letter at the meeting, you can send your request to SOT Headquarters or call 703.438.3115.

Cancellation Refund Policy

All requests for cancellations and/or refunds must be received in writing to SOT Headquarters by February 12, 2016. These refunds will be processed, less a $50 fee, following the Annual Meeting. Refund requests received after February 12, 2016, will not be processed.

Participants are also encouraged to register for the Continuing Education Courses. These are available during three time intervals on Sunday, March 13: the Sunrise Mini-Course is from 7:00 am–7:45 am, morning courses are 8:15 am–12:00 noon, and afternoon courses are from 1:15 pm–5:00 pm.

CE Course Registration

For your convenience, you can register for Continuing Education (CE) Courses at the same time as registering for the Annual Meeting. If you have already registered for the Annual Meeting you will have to use the Mail or Fax Registration Form to register for Continuing Education Courses.

Exhibitor Registration

Exhibitors should register using the Exhibitor Services Center.

Guest/Spouse Registration

Guests and spouses must be registered for the Annual Meeting to access the Hospitality Room. Guests should register with the person they are accompanying.

Reminder: Guest/spouse registrants and children under the age of 15 are not permitted in the Exhibit Hall at any time or in scientific sessions (not held in the Exhibit Hall) unless the session chair has provided consent for the guest/spouse or child to attend.

If the person they are accompanying is already registered, they must use the Guest Registration Form and mail or fax it to SOT Headquarters along with a copy of the confirmation of the person they are accompanying. Guests are welcome to attend the Welcome Reception, but will not have access to the scientific sessions or the Exhibit Hall.

Guest/Spouse Hospitality Room

The SOT Guest/Spouse Hospitality Room provides guest participants (nonscientists) with a place to meet and socialize with other guests. To visit the Hospitality Room, guests must register for the Annual Meeting with the person they are accompanying. Guests will not have access to the scientific sessions or the Exhibit Hall. Please remember to wear your badge to all SOT events. The Guest/Spouse Hospitality Room TBD .

Guests must be registered for the Annual Meeting to access the Hospitality Room.

Undergraduate and High School Registration

Undergraduate and high school students receive complimentary registration by using the Registration Form. Complete the form, scan, and email back with a copy of the student ID to Registrar Jim Dailey. Online registration is not available for these students.

American Disability Act (ADA)

The New Orleans Ernest N. Morial Convention Center is a fully accessible to persons with special needs. Please check the special accessibility requirement box. If you are in need of special attention, please contact Heidi Prange at 703. 438.3115 ext. 1424.

Registration Materials

Register before January 15, 2016, and your badge will be sent to you prior to the Annual Meeting. If you register after January 15, you can pick up your badge and registration materials at on-site registration. Your 2016 Annual Meeting registration badge must be presented to obtain access to any SOT functions.

When you arrive at the New Orleans Ernest N. Morial Convention Center, please go to the Registration area to pick up your Program, ToxExpo Directory, and registration badge. If you already have your registration badge and Continuing Education (CE) Course tickets, there is no need to stand in a registration line. Simply stop by the handout table in the Registration area and present your badge to obtain the other registration materials (i.e., Program, the ToxExpo Directory, and other supplementary materials).

In an effort to reduce resources and cost, the printed Program will be mailed to registrants for a fee of $20. If you wish to receive your printed Program before the meeting (request made by February 12), please select the “I want to receive the printed Program before the meeting by mail” checkbox on the registration form and these items will be mailed in early March (in the US and Canada only). The electronic version of these items will be available on the SOT website in early February and for pick up on-site.
