In-Person Attendance Checklist

Before You Travel

1

Gather COVID-19 vaccination records.

2A

If you are fully vaccinated with a COVID-19 vaccination recognized by the US Centers for Disease Control and Prevention (CDC), review and follow the SOT instructions for using the CLEAR app to submit your proof of vaccination. Note that the SOT Event Code for use in the CLEAR app is EFATTENDEE32.

2B

If you cannot or prefer not to use the CLEAR app or need a medical exemptioncomplete this form so SOT can contact you with special instructions for on-site validation.

3

By March 25, SOT will email you a Registration Check-In QR Code. This code is personalized to you and is required to pick up your badge on-site. Store this email in an easy-to-access location or save the QR code to your Apple Wallet or to GPay.

Before You Go to the San Diego Convention Center

4A

If using the CLEAR app, complete the health survey in your CLEAR app and accept the information-sharing agreement under “Know before you go.” Ensure that your CLEAR Health Pass is green. Reference the SOT instructions for assistance.

4B

If providing proof of vaccination on-site, make sure your proof of vaccination includes personal identifiers (e.g., full name, birth date, passport number); name of official source issuing the record (e.g., public health agency, government agency); and the vaccine manufacturer and dates of vaccination. Also, have a valid photo identification ready.

When You Arrive at the San Diego Convention Center

5A

If you are using the CLEAR app, go to a badge pickup kiosk. An SOT staff member will assist with scanning your CLEAR Health Pass QR Code and your Registration Check-In QR Code to issue your badge.

5B

If you are providing proof of vaccination or a medical exemption on-site, go to the area marked “On-Site Validation” and present your vaccination records and ID to the staff for verification. Upon verification, you will be given a “cleared” ticket that you will present at a badge pickup kiosk, where you also will scan your Registration Check-In QR code to print your badge.

6

Wear your badge to access SOT sessions and activities and enjoy the 2022 SOT Annual Meeting and ToxExpo.

The 2022 Enhanced Meeting Experience

In addition to the traditional in-person engagements, resources, and networking associated with the SOT Annual Meeting and ToxExpo, the 2022 event will feature an enhanced meeting experience to provide additional ways to access and engage with the scientific content.

Livestreams

Most Scientific Sessions will be streamed on the SOT Event App and Online Planner.

Live Q&As

Registrants on- and off-site can submit questions during many of the livestreams.

On-Demand Videos

All livestreamed sessions will be available as on-demand recordings to all registrants through July 31, 2022.

Registration for the meeting—whether planning to attend in-person or remotely—is required to participate in the 2022 enhanced meeting experience.

All social and professional development events, such as receptions and mentoring activities, will not be part of the enhanced meeting experience and are only available as part of on-site participation. Similarly, the Continuing Education courses can only be taken in person; video recordings of some courses will be added to the CEd-Tox online continuing education library by May 2022.

How to Find Livestream and On-Demand Content

  • Where can I find the livestreams and on-demand recordings?
On the session description pages in the SOT Event App and Online Planner, a countdown button will appear before a session’s scheduled start time. Then, at the start time, a button saying “Join Session” will appear. When you select this button, the session livestream will open via Zoom. Upon a session’s conclusion, once the on-demand recording is ready, a “View Recording” button will appear in the same location that the “Join Session” button appeared previously.
    Join Session
  • How do I find a session description page, or what does it look like?
In the SOT Event App, the quickest ways to find the session description pages are to select the “Program” icon on the main dashboard or the “Event Types” icon that appears along the bottom of every app page. Then, select the session in which you are interested to open the session description page.

In the SOT Online Planner, select the “Program” icon on the home screen or the “Program” tab along the top. Then, select the session in which you are interested to open the session description page. Remember that you can make the session description page bigger by closing the left-hand column by using the purple arrow.
  • How can I see a list of all sessions that will be livestreamed and available on demand?
In the SOT Event App, select “Filter” in the upper-right corner of a page displaying a list of sessions and then the “Livestreams/Recordings” option.

In the SOT Online Planner, the “Livestreams/Recordings” filter option is available in the left-hand panel of the “Program” section.
Once in the “Livestreams/Recordings” option, the Opening Plenary Session is listed under the filter “Keynote,” while all other livestreamed sessions are categorized under “Webinar.”
  • I think I’m on a session description page, but I do not see a “Join Session” button even though it is the session’s assigned time.
The description page for a specific presentation within a larger session looks similar to a session description page, but it will not contain a “Join Session” button—those buttons are only available on the main session description page.

In the SOT Event App or SOT Online Planner, the easiest way to determine if you are viewing a specific presentation description page is to look at the top of the screen or the top of the panel containing the description. If you see two bars—one of which containing the word “Presentation”—then, you are on a specific presentation description page. Session description pages only have one bar across the top, and it denotes the event type.

Similarly, if you are viewing the schedule or list of events after conducting a search, you can tell the presentation descriptions from the session descriptions by the appearance of a second bar to the left of the title in the list.

Health and Safety

As a society focused on public health, SOT is monitoring and following recommendations and regulations issued by the Centers for Disease Control and Prevention (CDC), the World Health Organization (WHO), and state and local health authorities. Per California mandates, all individuals attending the meeting on-site in San Diego are required to provide proof of COVID-19 vaccination or documented medical exemption status.

Instructions for Providing Proof of Vaccination for Badge Pickup

All individuals attending the 2022 SOT Annual Meeting and ToxExpo on-site in San Diego MUST BE FULLY VACCINATED against COVID-19. Proof of vaccination is required to secure badges and participate in meeting activities.

Needed Materials

  • A valid Driver’s License/ID Card or a Passport
  • Your COVID-19 records (e.g., your vaccination card)
    • the manufacturer of vaccine you received
    • the lot number for the vaccine (optional)
    • the date that you received the vaccine
    • the provider who gave you the shot

These instructions apply to individuals who are fully vaccinated with one of the following COVID-19 vaccinations recognized by the US Centers for Disease Control and Prevention (CDC): Johnson & Johnson’s Janssen, Pfizer-BioNTech, and Moderna. You may be able to enter and confirm proof of vaccination in CLEAR if you have received another vaccine, but results vary.

Request Additional Instructions

If you have received one of the non-CDC–recognized vaccinations or need a medical exemption, please submit a request form so SOT can contact you with special instructions.

PHASE 1
Before You Travel to San Diego

  1. Install the CLEAR App on a Mobile Device

In the Apple App Store or Google Play, search for “CLEAR” and install the app on a smartphone or tablet device.

If you have already installed and uploaded your vaccination records previously to the CLEAR app, no further action is needed prior to your arrival in San Diego. Upon arrival in San Diego, complete PHASE 2 of these instructions.

If you have any issues using the CLEAR app, contact CLEAR support by selecting “Get in Touch” at the bottom of the CLEAR app home screen or by sending an email.

  1. Open the CLEAR App and Select “New Digital Vaccine Card”

Open the CLEAR app, scroll down to the area that reads “New Digital Vaccine Card,” and select “Add My Vaccination.”

DO NOT select “Get Started” under “Create your Health Pass.” You will do so in PHASE 2 of these instructions after you arrive in San Diego.

  1. Create a CLEAR Account

Enter your email address. This can be any email address to which you have access. It does not need to be the email address that was used when you registered for the SOT Annual Meeting and ToxExpo.

Enter a phone number at which you can receive text messages as the next step in the account setup requires you to enter a verification code sent to you via text.

Get your proof of identity (driver’s license, state-issue ID card, or passport) ready.

Make sure you are in a well-lit location that will allow you to take a clear photo of your identification document, as well as a selfie.

  1. Agree to CLEAR “Member Terms”

Before you can continue with your CLEAR account creation and entering your vaccination records, you will need to agree to the CLEAR “Member Terms.”

To accept the terms, scroll to the bottom of your screen. Beware, the terms are many, so it is a lengthy scroll.

  1. Confirm Your Identity in CLEAR

After accepting the “Member Terms,” it is time to confirm your identity.

To take a successful photo of your identification card, you will need to:

    1. Avoid glare/lens flares
    2. Ensure that you can capture all the edges of your document in your camera shot.

When you select “Next,” you will be prompted to allow the CLEAR app to access your device’s camera. Select “OK.”

After selecting the form of identification that you will be capturing, CLEAR will open your camera within the CLEAR app to take the photo. CLEAR will automatically take a photo of your ID when its quality standards are met. If they are not (meaning you have a glare or other issue), onscreen prompts will help you.

Next, you will need to take a selfie to confirm your identity.

As noted on the CLEAR app screen, you should:

    • Remove glasses, if applicable
    • Make sure you are in a well-lit environment
    • Hold your phone at eye level

Just as with the photo ID, CLEAR will open your camera within its app, will prompt you to adjust aspects of the picture, and will take your photo when ready. You will have the option to retake your photo if desired. When satisfied with your photo, select “Next.”

  1. Create CLEAR Password

Next, you will be asked to enter a password for your CLEAR account.

    CLEAR passwords must:

    • Be at least 8 characters
    • Contain a mix of numbers and upper- and lowercase letters
    • Use at least one of these special characters
      ! # $ % - _ = + < >
  1. Enter Vaccination Information

First, select how you will provide your proof of vaccination.

If you select to “Scan your vaccination card,” once again, your camera will open within the CLEAR app, and the photo will be automatically taken.

Next, manually enter the information for each dose of the vaccine that you received:

    • Product name
      (i.e., vaccine manufacturer)
    • Lot number
      (optional)
    • Date administered
(i.e., date you received the shot)
    • Vaccination provider
(i.e, who gave you the shot)

The CDC definition for fully vaccinated is “a person has received their primary series of COVID-19 vaccines,” so you must enter the dose information for every shot included in the primary series that you received. Visit the CDC website for more information on what qualifies as a primary series.

After manually entering your vaccination information and selecting “Continue,” you have completed your enrollment in CLEAR and the requirements for proof of vaccination for the SOT Annual Meeting and ToxExpo.

However, to acquire your badge on-site in San Diego, you will need to complete PHASE 2 of these instructions upon arrival in San Diego.

PHASE 2
Upon Arrival in San Diego, but BEFORE Arrival at the San Diego Convention Center

  1. Confirm That You Have Completed Your COVID-19 Vaccine Card in the CLEAR App

Open the CLEAR app and scroll down to your “Digital vaccine card.”

You should see a dark blue box that reads “COVID-19 Vaccine Completed” followed by a check mark:

    • If so, move to Step 2.
    • If not, complete the steps in PHASE 1 as detailed earlier on this web page.
  1. Enter SOT Event Code

Scroll back to the top of the CLEAR app home page, and select “Get Started” in the “Create your Health Pass” section.

On the next screen, select “Have a code?”

On the next screen, enter the SOT Event Code. The SOT Event Code is EFATTENDEE32.

Next, you will be prompted to take a selfie to confirm your identity. When this is complete, you will be taken to the “Entry Requirements” screen.

  1. Agree to Information Sharing with Event Farm

Next, you will see a screen showing the requirements to receive your badge for the 2022 SOT Annual Meeting and ToxExpo.

If you have completed PHASE 1 of these instructions, there will be green circles with check marks next to the items under “BEFORE ARRIVAL” confirming your identity and vaccination status. There will be a check mark missing next to “Know this before you go.” You should select that option to open an agreement screen saying that CLEAR will share information with Event Farm. Event Farm is the vendor with which SOT has contracted to confirm proof of vaccinations. Your information will be shared with Event Farm to confirm your vaccination and to generate your health pass. You must agree to this information sharing for your CLEAR Health Pass QR code to be generated.

  1. Complete Health Survey

Before arriving at the convention center, complete the “DAY OF” health survey. Once you do, a green check mark will appear next to that item, and you will be able to select “OPEN HEALTH PASS.”

At the San Diego Convention Center

  1. Show CLEAR Health Pass QR Code at Badge Pickup Kiosk

When you select “OPEN HEALTH PASS,” a screen with your name, your picture, and a QR code will appear. At the convention center, proceed to a badge pickup kiosk, where SOT staff will assist with scanning this QR code, along with your Registration Check-In QR Code that will be sent to you via email by March 25, to print your meeting badge.

Please ensure that your Health Pass is green before arriving at the convention center and arrive early in case there are lines. If your pass is not green, you will not be issued a badge.
